The commercial kitchen maintenance checklist worth actually using

A large share of the callouts we attend are preventable. These are the checks worth putting on the closing list — weekly, monthly and quarterly.

Our technicians spend a lot of time fixing things that did not need to break. Not dramatic failures — dust, scale, a perished seal, a filter nobody changed.

The pattern is consistent enough to write down. Here is the list, in the order a kitchen can realistically do it.

Weekly — put it on the closing list

Condenser coils. Dust and grease on the condenser is the number one cause of refrigeration failure we attend, and it is a brush and five minutes. A blocked condenser makes the compressor work harder, run hotter and die younger.

Door seals. Close the door on a piece of paper and pull. If it slides out easily, the seal has gone at that point. A perished seal costs a fraction of the electricity it wastes, never mind the temperature excursions.

Fryer oil and elements. Filter the oil on the schedule the fryer is designed for, and check the elements for carbon build-up. Baked-on carbon is an insulator; it makes the element run hot to achieve the same oil temperature.

Drains and grease traps. A slow drain is a warning, not an inconvenience.

Monthly

Water filters — ice machines and coffee. In most of the Northern Cape and Free State the water is hard. Scale is the single largest cause of both ice machine and espresso machine failure, and a filter is cheaper than a descale, which is cheaper than a boiler.

Gas connections. A soapy-water test on flexible hoses and joints. Any bubbling, stop and call someone qualified.

Extraction filters. Baffle filters through the dishwasher. A loaded filter both reduces extraction and turns the canopy into a fire risk.

Dishwasher jets and rinse arms. Pull them, clear the jets, check the rinse temperature is actually being reached. A machine that is not hitting rinse temperature is not sanitising, whatever the display says.

Quarterly

Calibrate thermometers and probes. Ice-water and boiling-water checks. Everything downstream of a food-safety record depends on the probe being honest.

Check levelling. Equipment that has been pulled out and shoved back is rarely level. Fryers and ovens with uneven oil or airflow cook unevenly and wear unevenly.

Motor and bearing noise. Mixers, slicers, extraction fans. Machines announce bearing failure well before it happens; someone just has to be listening.

Read the fault log. Modern controllers keep a history. Recurring codes are a story about something that is going to fail.

The single most useful thing a kitchen can do for its own service costs is keep a note: date, machine, code, what was happening.

Half the diagnostic time on a callout is establishing what the machine was doing before it stopped. A one-line note turns a two-hour investigation into a twenty-minute repair, and it very often shows a pattern the kitchen had not noticed — a machine that only trips during the Saturday rush is telling you about your power supply, not your fridge.

What is not a maintenance task

Refrigerant work, gas certification and anything behind a sealed panel is not a kitchen job. Doing it in-house also, in most cases, voids the warranty on the machine — which is worth knowing before rather than after.

That is the line: cleaning, checking and listening are yours; the sealed system is ours.
